1 ) Privacy policy
We love humor, not surprises with your data. This notice explains what we collect, why, how long we keep it and the choices you have. We follow the GDPR (EU 2016/679) and Dutch cookie rules (ePrivacy/Telecommunicatiewet).
2) Scope
This policy applies to our website emerge.nl and all services offered via the site.
3) Data we process
You actively provide:
- Contact and company details (name, email, phone, organization, role) when you contact us by email or phone.
- Billing details for client relationships (address, VAT no.) when you do business with us.
We automatically receive when you visit our website:
- Technical data (IP address*, device/OS, browser, referrer, timestamps).
- Cookie information (see paragraph 10 below).
- *Where possible, IP addresses are truncated/aggregated for statistics and security.
4) Purpose & Legal bases
We process your data to:
- Handle enquiries & contact: respond to your message/quote request (contract or pre-contract).
- Provide services: planning, delivery and invoicing (contract).
- Website security & basic analytics: logs
- Legal obligations: e.g., tax/admin retention (legal obligation).
We don’t keep data longer than necessary (see §7). Cookies usually require consent, except strictly necessary or privacy-friendly analytics (see §11).
5) Sharing with third parties (processors/recipients)
We only share when needed, under data processing agreements where required:
- Hosting & security: TransIP Netherlands.
- Web analytics: Google Analytics 4 with IP anonymisation & data minimisation / none].
- Collaboration/project tools: MS365
- Accounting/bookkeeping: Moneymonk
Outside the EEA? We use appropriate safeguards (e.g., Standard Contractual Clauses) or choose EEA hosting. We document this in our records.
6) Security
We apply appropriate technical and organisational measures: HTTPS, access controls, role-based permissions, logging, updates/patching, and data minimisation. No system is 100% secure, but we take security seriously.
7) Retention (rules of thumb)
- Enquiries/sales leads: up to 12 months after last contact (unless you become a client).
- Client files/contracts: up to 5 years after engagement ends.
- Financial records: 7 years (tax law).
- Security logs: 3–12 months (depending on necessity).
8) Your Rights
You have the right to access, rectification, erasure, restriction, data portability, objection, and to withdraw consent. We respond within one month. Not satisfied? You can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

9) Automated decision-making
We do not make decisions based solely on automated processing (including profiling) that produce legal effects or similarly significant impacts.
10) Cookies policy
Cookies are small (temporary) files placed on your device to make the site work and keep it secure. Rules derive from the ePrivacy Directive and in the Netherlands Article 11.7a Telecommunicatiewet (“cookie law”).
We place only necessary cookies and first-party (self-hosted) analytics configured to have no or minimal privacy impact (e.g., anonymised IPs, no profiling, no sharing with third parties). Therefor we do not ask consent for analytics.

11) International transfers
We do not transfer personal data. If we in future would need to transfer personal data outside the EEA, we do so only with valid safeguards (e.g., Standard Contractual Clauses) and additional measures where needed. We will inform you per service or tool.
